This privacy policy explains what personal data HEXVORM OÜ collects, why, and how long it keeps it. Our principle is simple: we collect only what is needed to answer your inquiry, and we do not use your data for anything else.

What data we collect
Through the inquiry form
When you fill in the inquiry form on our website, we collect the following data:
- Name — to know whom to address
- Email address — to send you a quote or reply
- Phone number (optional) — if you prefer that we call you
- Project description — to understand what you need
- Uploaded file (optional) — the 3D model or drawing we base the quote on
Automatically
Our web server stores standard technical logs: the visitor’s IP address, request time and browser type. We use them only to keep the site secure and to detect faults.
Why we process this data
We process inquiry form data to answer your inquiry and prepare a price quote. The legal basis is Article 6(1)(b) of the General Data Protection Regulation: steps prior to entering into a contract, taken at your request.
We process server logs under Article 6(1)(f) of the General Data Protection Regulation: we have a legitimate interest in keeping the website secure and working.
We do not use your data for marketing or send newsletters unless you have given separate consent.
How long we keep data
- Inquiries that did not lead to cooperation: up to 2 years, then deleted
- Order-related documents: 7 years from the end of the financial year, as required by § 12 of the Accounting Act
- Uploaded files: a file sent through the form is deleted from the web server immediately after the email has been delivered. A copy remains in our email, where the periods above apply.
- Server logs: up to 6 months
Who we share data with
We do not sell or share your data with third parties for marketing. Data goes only to the service providers we use to run the website and email:
- Google Ireland Limited: our email runs on Google Workspace, so your inquiry reaches it
- Web hosting: the website runs on a server in Tartu
Your 3D models and drawings. We do not use your files for any purpose other than fulfilling your order and do not share them with anyone without your permission. On request we sign a confidentiality agreement (NDA) before you send files; just mention it in your inquiry.
Cookies
This website does not use tracking or analytics cookies. We do not use Google Analytics or social media tracking pixels. A cookie is set only by WordPress itself, and only when someone logs in to the site’s admin area. If you close the cookie notice, your browser remembers that it was closed (local storage, not a cookie); nothing else is left on an ordinary visitor’s device.
Your rights
You have the right to:
- ask what data we hold about you
- have inaccurate data corrected
- have your data deleted
- restrict the processing of your data or object to it
- receive your data in a machine-readable format
For any of these requests, write to info@hexvorm.ee. We reply within one month.
If you believe we are processing your data incorrectly, you have the right to contact the Data Protection Inspectorate (Andmekaitse Inspektsioon): www.aki.ee.
Changes
If we change this privacy policy, we update the date at the top of the page. For significant changes we will also notify you separately.
